1. Introduction

Legenix (“Legenix,” “we,” “our,” or “us”) is a SaaS platform that provides AI-powered chat widgets to family law firms for the purpose of capturing and qualifying prospective client leads. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights with respect to that information.

This policy applies to two groups of people:

  • Law firm subscribers — family law firms that use the Legenix platform and dashboard
  • Prospective clients— individuals who interact with a Legenix-powered chat widget embedded on a law firm's website

By using our service in any capacity, you agree to the practices described in this policy.

2. Information We Collect

2.1 From Prospective Clients (Chat Widget Users)

When a person interacts with a Legenix chat widget on a law firm's website, we collect:

  • Full name (when provided through the lead capture form)
  • Email address (when provided through the lead capture form)
  • Phone number (when provided through the lead capture form)
  • The full content of their conversation with the AI assistant
  • The legal matter type(s) they selected at the start of the conversation
  • An AI-generated summary of their situation
  • General location (city and state, as provided by the user during the conversation)
  • Browser type, device type, and IP address
  • Date and time of the interaction
  • Session identifier (a randomly generated ID assigned to each conversation)

2.2 From Law Firm Subscribers

When a law firm creates an account on Legenix, we collect:

  • Firm name and contact information
  • Attorney name(s) and email address(es)
  • Billing information (processed securely by our payment processor — we do not store full credit card numbers)
  • Account credentials (email address and encrypted password)
  • Usage data including login activity and dashboard interactions

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Lead delivery — To transmit captured lead information (name, email, phone number, conversation transcript, and AI summary) to the subscribing law firm so that firm may follow up with the prospective client
  • AI conversation processing — To generate AI responses during the chat conversation and to produce a brief summary of each conversation to help attorneys triage incoming leads
  • Dashboard and reporting — To display lead information, conversation transcripts, and analytics to the subscribing law firm through the Legenix dashboard at app.legenix.com
  • SMS follow-up — To enable law firm attorneys to send follow-up text messages to prospective clients who have provided their phone number and consented to be contacted
  • Service operation and improvement — To operate, maintain, and improve the Legenix platform
  • Billing and account management — To process subscription payments and communicate with law firm subscribers about their accounts
  • Security — To detect and prevent fraudulent activity, spam, or abuse of the platform
  • Legal compliance — To comply with applicable laws and respond to lawful requests from government or regulatory authorities

4. AI Processing Disclosure

Legenix uses the Anthropic APIto power the AI chat assistant embedded in the widget. When a prospective client has a conversation through a Legenix widget, the content of that conversation is transmitted to Anthropic's servers to generate responses in real time.

Anthropic processes conversation data solely for the purpose of generating AI responses. Their handling of data is governed by Anthropic's own privacy policy and data processing terms, available at anthropic.com.

We do not use conversation content to train AI models.

5. SMS Messaging Disclosure

When a prospective client provides their phone number through a Legenix chat widget, they consent to being contacted by the subscribing law firm via SMS text message in connection with their legal inquiry.

  • Message and data rates may apply
  • To opt out of SMS messages from the law firm, reply STOP to any text message you receive
  • For help, reply HELP or contact the law firm directly
  • Message frequency varies depending on the law firm's follow-up practices
  • Legenix does not send unsolicited marketing SMS messages to prospective clients

SMS messages are sent on behalf of the subscribing law firm using the Twilio communications platform. Twilio's privacy policy is available at twilio.com/legal/privacy.

6. Sharing of Information

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We share information only in the following limited circumstances:

With the subscribing law firm— Lead data including name, contact information, conversation transcripts, and AI-generated summaries is delivered to the law firm that operates the widget you interacted with. That firm's use of your information is subject to its own privacy practices and professional obligations as a law firm.

With service providers — We use trusted third-party vendors to operate our platform, including:

  • Supabase — database and authentication infrastructure (supabase.com)
  • Anthropic — AI conversation processing (anthropic.com)
  • Twilio — SMS delivery (twilio.com)
  • Vercel — dashboard hosting (vercel.com)
  • Railway — backend API hosting (railway.app)
  • Netlify — chat widget hosting (netlify.com)

Each of these vendors is contractually bound to protect your data and may not use it for any purpose other than providing services to Legenix.

For legal reasons — We may disclose information if required to do so by law, court order, subpoena, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Legenix, our users, or the public.

In connection with a business transfer — If Legenix is acquired, merged with another company, or substantially all of its assets are transferred, your information may be transferred as part of that transaction. We will notify affected users via email or a prominent notice on our website prior to any such transfer.

7. Data Retention

Prospective client data — Conversation records, lead information, and AI summaries are retained on behalf of the subscribing law firm for as long as the firm maintains an active Legenix subscription, or for up to 12 months following subscription cancellation, whichever comes first. After this period, data is permanently deleted from our systems.

Law firm account data — Firm account information is retained for as long as the account remains active and for up to 90 days following account closure, after which it is permanently deleted.

Billing records — Payment and billing records may be retained for up to 7 years as required for tax and accounting compliance.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • The right to access the personal information we hold about you
  • The right to request correction of inaccurate or incomplete information
  • The right to request deletion of your personal information
  • The right to object to or restrict certain processing of your information
  • The right to data portability (receiving your data in a structured, machine-readable format)
  • The right to opt out of SMS communications by replying STOP

To exercise any of these rights, please contact us at winstonochs@legenix.com. We will respond to your request within 30 days. We may need to verify your identity before fulfilling certain requests.

Note for prospective clients: Because your conversation data is delivered to and held by the subscribing law firm, some requests (such as deletion) may need to be directed to that firm as well as to Legenix.

9. Security

We take the security of your information seriously and implement industry-standard measures to protect it, including:

  • Encryption in transit using TLS (HTTPS) for all data transmissions
  • Encryption at rest for data stored in our database
  • Row-level security policies that ensure law firm data is never accessible to other firms
  • Secure credential storage using hashed passwords
  • Access controls limiting who within Legenix can access user data

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify affected users as required by applicable law.

10. Confidentiality of Legal Matters

We understand that individuals who interact with family law chat widgets are often sharing sensitive personal information about ongoing or potential legal matters. We treat all conversation content as confidential and do not share it with any party other than the subscribing law firm, except as described in this policy.

Please note that Legenix is a technology platform, not a law firm, and communication through a Legenix widget does not establish an attorney-client relationship.

11. Children's Privacy

Our service is not directed to individuals under the age of 13, and we do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal information from a child under 13, we will delete it promptly. 12. Changes to This Policy

We may update this Privacy Policy from time to time as our service evolves or as required by law. When we make material changes, we will update the “Effective Date” at the top of this page and, where appropriate, notify law firm subscribers by email. Continued use of our service after any changes constitutes acceptance of the updated policy.

We encourage you to review this policy periodically.
